Spark Books

Bookkeeping from your inbox

Stop paying a bookkeeper to type your receipts.

Connect Gmail or Outlook. Spark Books finds receipts and supplier invoices, categorises them, and pushes them into Xero or QuickBooks. A bookkeeper typically charges £200–300 a month to do that typing. Your accountant still files with HMRC.

  • Read-only on your inbox

We read mail to find bills. We never send anything from your account.

  • You review anything unclear

If a total or VAT figure is not certain, it waits for you. Nothing is pushed to your ledger on a guess.

  • Free to try, no card

We file up to 15 invoices from your last 30 days so you can see it work on your own mail first.

  • No lock-in

Disconnect the inbox in one click, export everything, cancel any time.

How it works

  1. 1

Connect the inbox you already use

Gmail or Outlook. We only read mail. We never send anything.

  2. 2

    Receipts get found and categorised

Supplier, date, VAT, total, original stored. New mail as it arrives — plus the last 30 days on the first scan.

  3. 3

    Push into Xero or QuickBooks

You confirm anything we are unsure about. Then the bill lands in the ledger you already use.

Stop hunting the inbox for receipts

Supplier bills already land in Gmail or Outlook. We pull them out so you are not scrolling for last month’s Screwfix or CEF on a Sunday.

Categorised without the typing

Each receipt gets a category, VAT split, and the original attached. If we cannot read it, we ask once — we do not invent a number.

Your ledger stays your ledger

Connect Xero or QuickBooks when you are ready. We push the categorised bill. We do not replace your accountant.

The bookkeeper’s typing, not the accountant’s job

A bookkeeper typically charges £200–300 a month to find receipts and type them in. Solo is £59. VAT returns and year-end still need a human.

What you are not signing up for

  • Guessing into your books. Unsure receipts wait for you. You edit category and VAT before anything is pushed.
  • Lock-in. Cancel any time. Export everything. Disconnect the inbox in one click. Your data walks with you.
  • A second inbox to check. Read-only on the mailbox you already use. Encrypted credentials. We never send mail.

Why this matters now

Making Tax Digital for Income Tax is live from 6 April 2026 for sole traders over £50,000 qualifying income, then £30,000 from April 2027 and £20,000 from April 2028 — on gross turnover, not profit. HMRC wants digital records. Spark Books keeps those records from the mail you already get.

£59 versus a £200–300 bookkeeper

Most tradespeople pay a bookkeeper that much a month to find receipts and type them in. Solo does that from your inbox. See it work on your own last 30 days first — free, no card. Cancel any time.

Questions tradespeople actually ask

Will this work with my emails?

Gmail, Outlook, and Yahoo via one-tap Allow. iCloud and other inboxes: upload a PDF. We look through the last 30 days for receipts and supplier invoices.

Does this replace my bookkeeper?

It replaces the part they charge £200–300 a month for: finding receipts and typing them in. Your accountant still does VAT returns, year-end, and anything you file with HMRC.

Will it categorise things wrong?

Sometimes. Anything we are unsure about waits in Double-check. You can edit the category and VAT before it goes to Xero or QuickBooks. We do not guess into your ledger.

Can I trust it with my inbox?

Access is read-only. We never send mail or change messages. Credentials are encrypted. Disconnect in one click from Settings.

Do I have to leave Xero or QuickBooks?

No. Spark Books is not your ledger. Connect Xero or QuickBooks when you are ready and we push categorised bills with the original attached.

How much does it cost?

Free to try — connect your inbox and we'll find and file up to 15 invoices from your last 30 days, no card. Solo is £59 a month after that. A bookkeeper doing this typing is typically £200–300 a month. Cancel any time.
